Job Summary:
  • The position involves providing technical and administrative support to our project management group.
Responsibilities:
  • Assist Project Managers in project activities:
    • Analyze customer requirements and proposing the appropriate technical solution including hardware, software and networking solutions.
    • Provide project co-ordination support for Solutions Engineers, Customer Support Manager, Sales Service Managers and Accounting.
    • Monitor financial status reports - receive from accounting and send to the respective project manager for review and comparison to last month.
    • Create and update project documentation binders and project folder.
    • Create and update project schedules.
    • Create and update project budgets.
    • Capture and report on project metrics.
    • Customer and internal project reporting.
    • Project governance reporting.
    • Create expense reports.
    • Maintain project meeting minutes and documentation.
    • Create project close-out reports and post mortem evaluation.
    • Procurement.
    • Shipping.
    • Logistic preparation of project trips.
  • Project management group administration:
    • Organize the monthly projects budget and status reporting meetings.
    • Update the project dashboard report.
    • Maintain project management template repository.
    • Maintain the project management standard operating procedures.
    • Maintain the vacation tracking spreadsheet.
    • Administer the timesheet system.
  • Proposal writing support:
    • Assist business development in writing proposals by providing the project management proposal content.
Qualifications:
  • University degree in Engineering or Computer Science
  • Two to three years of applied technical and project coordination experience
  • Knowledge of basic accounting principles
  • Demonstrated proficiency in MSOffice and MS Project
  • Excellent verbal and written communication and presentation skills are essential in English (French and Spanish are additional assets)
  • A detail oriented, team player with the ability to meet tight deadlines
  • Must be eligible to obtain Secret Level security clearance
  • A self starter who is able to strategize and manage multiple projects simultaneously
  • Strong inter-personal skills with a polished and professional manner
  • Ability to multi-task
  • Highly organized
  • Highly motivated and self-directed
